Electrify the Capital Expo

When you register to exhibit at the expo, we collect the following information:

  • Name of your organisation
  • Name, phone number, and email address of the contact person for your registration
  • An email address for invoicing purposes
  • A description of the products or services you plan to display at the expo

3. Why We Collect It

We collect this information to:

  • Process and manage your exhibitor registration
  • Communicate with you about the expo, including logistics, scheduling, and updates
  • Issue invoices and manage payment for your exhibition space
  • Promote the expo and its exhibitors (where you have provided consent — see section 5)

4. How We Store and Protect It

Your information is stored securely and is only accessible to authorised members of our team. We take reasonable steps to protect it from loss, misuse, or unauthorised access, consistent with our obligations under the Privacy Act 2020.

We do not store payment card details — invoicing is handled separately via [your invoicing system/process].

5. Sharing Your Information

We will not sell or share your personal information with third parties for marketing purposes.

We may include limited information — such as your organisation name and a brief description of your exhibit — in expo promotional materials, the exhibitor directory, or on our website. We will ask for your consent before doing so.

We may share information with trusted service providers who assist us in running the expo (such as our venue, invoicing platform, or email service), but only to the extent necessary and subject to confidentiality obligations.

Under the Privacy Act 2020, you have the right to:

  • Access the personal information we hold about you
  • Ask us to correct any information that is inaccurate or incomplete
  • Ask us to delete your information, subject to our legal and administrative obligations

7. How Long We Keep It

We will retain your information for as long as is reasonably necessary to manage the expo and meet our legal obligations — for example, for accounting and tax purposes. After that period, your information will be securely deleted.
