Exhibitor Terms and Conditions

These terms and conditions apply to all organisations exhibiting at Electrify the Capital, held on Saturday 17 October 2026 at TSB Arena, Wellington.

Event Details

The Electrify the Capital Expo will be held on Saturday, 17th October 2026, at the TSB Arena on the Wellington Waterfront. The Expo will be open from 9am to 4pm and all exhibitors are expected to be present during these hours.

All exhibitors are invited to a social networking function in the Arena exhibition space, hosted by the event organisers, from 5:00 PM to 7:00 PM.

Exhibitor Participation Fee

Each exhibitor is required to pay a participation fee for their exhibition stand. The fee required will depend on the stand size and is listed on the registration form.

Payment must be made in full upon confirmation of allocation of an exhibition site to secure the allocated space at the expo. Allocation of a specific site is provisional until payment is received.

When a site allocation has been confirmed, the organisers will send an invoice for payment to the nominated contact person.

Booking and Site Allocation

Exhibitors will be asked to specify their preferred choice of expo stand plus an alternate location should their preferred choice not be available. The organisers reserve the right to locate an exhibitor at their alternate to avoid locating them adjacent to another exhibitor with essentially the same offering. 

Within this constraint, exhibitor space is allocated on a first-come, first-served basis upon receipt of a completed registration form.  

Setup and Pack-down

Exhibitors are required to set up their stalls on Friday, 16rd October 2026, between 12:00 PM and 5:00 PM. Note that all exhibitors are invited to a social function in the Arena exhibition space from 5:00 PM to 7:00 PM on Friday 16th.

Exhibitors are responsible for dismantling their stalls and removing all materials between 4pm and 7pm at the conclusion of the event on Saturday 17th.

Stall Requirements

Any damage to the venue or expo-provided equipment will be the responsibility of the exhibitor. All stand materials must comply with venue health and safety requirements, including electrical safety standards where applicable.

No hazardous materials or items that may endanger attendees are permitted.

The organisers reserve the right to decline or remove exhibits deemed inappropriate or non-compliant with event guidelines.

Liability and Insurance

The organisers will take reasonable precautions to ensure a safe environment but accept no liability for loss, theft, or damage to exhibitor property.

Exhibitors are responsible for arranging their own public liability insurance where required.

Compliance with Laws and Regulations

Exhibitors must comply with all applicable laws, including those related to workplace health and safety, food handling (if applicable), and electrical safety.

Promotion and Publicity

By participating in the expo, exhibitors consent to being photographed or recorded for promotional purposes. The organisers may use exhibitor names and logos in marketing materials unless otherwise requested in writing.

Amendments and Cancellation

If you need to cancel your participation, please notify the organisers as soon as possible so your space can be reallocated.

If the event is postponed or cancelled due to unforeseen circumstances, exhibitors will be notified as soon as possible, and alternative arrangements may be made.

The organisers reserve the right to amend these terms and conditions where necessary.
